District Athletics Administrative Assistant Location Indianapolis, IN (Downtown area) :

SUMMARY OF OPPORTUNITY:

Provide administrative support to the IPS District Athletics Department. Duties include general clerical, receptionist, and project-based work. Project a professional image through in-person and phone interaction.

WHAT YOU'LL DO:

The following outlines what your core duties and responsibilities will be for this position and provides a sample overview of what your day-to-day may look like.

Core Duties and Responsibilities

  • Perform administrative duties such as reception and clerical responsibilities in an invitational and professional manner; answer telephone to provide information, take messages, transfer calls and greet visitors to determine the nature of business and directs visitors to appropriate destination.
  • Oversee and manage athletics facility rentals, including receiving and processing paperwork and payment.
  • Schedule department meetings and events and maintain department director's schedule.
  • Help facilitate communication between Athletics and other IPS departments (facilities, transportation, school police, innovation, human resources, etc).
  • Assist in the communication with external partners.

Process department payment requisitions.

  • Prepare and edit presentations, correspondence, and other documents.
  • Develop and maintain filing system on department shared drive.
  • Order, receive, and store department office supplies and equipment as needed.
  • Identifies and reports matters that may effective efficient operation of the office.
  • Help check and pull student records for department reports.
  • Other duties as assigned by District Director of Athletics.

EDUCATION, CERTIFICATION, AND LICENSURE REQUIREMENTS

High School diploma required; Associates degree or higher preferred. Candidates must have a minimum of three to five years successful experience in administrative support role. Ability to work with various software programs, including by not limited to Microsoft Office.

WORK LOCATION & HOURS:

This main position for this office is located at 120 E. Walnut Street, Indianapolis IN, 46204. Opportunities for working remotely will be available, but limited.
