The Role

We’re looking for an Executive Assistant who is equal parts high EQ, sharp execution, and unshakable calm. You’ll serve as a critical force multiplier for the CEO—maximizing his time, helping manage the chaos of scale, and ensuring Autonomize’s leadership team stays coordinated, prepared, and focused. You’ll be at the heart of the company—supporting a founder-CEO, interfacing with investors and customers, and driving projects that directly impact Autonomize’s success. What You’ll Do:

CEO Support & Prioritization

  • Own the CEO’s calendar across time zones, ruthlessly protecting focus time while being responsive to changing priorities.
  • Triage and manage communications (email, Slack, LinkedIn, text), surfacing what matters and handling what doesn’t require escalation.
  • Coordinate high-stakes meetings—investor check-ins, partner sessions, customer briefings—with pre-reads, agendas, and clear follow-ups.
  • Handle domestic and international travel with precision, from booking to last-minute rebooking.
  • Act as a strategic extension of the CEO—matching tone, clarity, and follow-through.

Executional Excellence

  • Keep our digital operations crisp—organize Google Drive, label documents, and archive what’s no longer needed.
  • Submit expenses, coordinate gifting, and manage personal logistics (appointments, travel, errands) with grace and confidentiality.
  • Anticipate problems before they emerge—review schedules, catch conflicts, and ensure readiness.
  • Use AI tools and automation to streamline workflows and boost productivity.

Team, Culture, & Special Projects

  • Be present and hands-on in the Austin office—helping host customers, coordinate internal meetings, and keep the pulse of the team.
  • Lead logistics for team offsites, celebrations, and investor events.
  • Support culture-building initiatives—whether that’s putting up posters, organizing founder notes, or helping execute “surprise & delight” moments.
  • Take on special projects that make the company stronger and more effective.

What You Bring

Must-Haves

  • 8+ years supporting a CEO or senior exec in a fast-moving environment (ideally a tech startup).
  • Exceptional organizational chops and the ability to juggle a thousand details without dropping a single one.
  • Executive-level communication: you write clearly, speak crisply, and know how to adjust tone for any audience.
  • Strong command of productivity tools—calendar management, AI assistants, Slack, Google Workspace, Notion, and more.
  • High integrity and discretion—you’ll be entrusted with sensitive, high-stakes matters.
  • A natural relationship builder—equally confident engaging with customers, investors, and teammates.
  • Unflappable under pressure, with a "figure it out" mindset and zero ego.

Bonus Points

  • Experience coordinating events or managing multiple stakeholders across departments.
  • Familiarity with HubSpot, project management tools, or early-stage company operations.
