Position: Office Coordinator / Executive Administrative Assistant

As the Office Coordinator / Administrative Assistant , you will help the Nexus Leadership team operate at their most optimal level by taking responsibility for administrative and office management tasks. This is a part-time position that is four days a week from 9:00 a.m. to 2:00 p.m.

Nexus Innovations is looking for a highly organized and proactive Office Manager with a minimum of five-ten years' experience to support our operations and ensure the smooth functioning of our workplace. This part-time role provides a great opportunity to contribute to our team while offering potential for growth into a full-time position with expanded responsibilities.

The ideal candidate will be a detail-oriented professional who thrives in a dynamic environment, enjoys problem-solving, and takes the initiative to enhance efficiency. The ideal candidate will possess strong organizational skills and the ability to manage multiple tasks efficiently. This role is essential in ensuring smooth office operations, providing clerical support, and facilitating communication within the team.

Key Responsibilities

  • Administrative Coordination: Manage daily office operations.
  • Financial & Vendor Support: Assist with the Nexus contract and invoicing process, and information management.
  • Event Planning & Logistics: Help organize team meetings, training sessions, and company events.
  • Supplies Management: Oversee office supplies, equipment maintenance, and workspace organization.
  • Team Support: Support onboarding processes for new employees, coordinate benefits, and help maintain company policies.
  • Maintain organized filing systems: Both physical and digital documents, ensuring easy access to important information.
  • Expanded Responsibilities: Potential for role evolvement and opportunities for additional responsibilities.

Qualifications & Experience

  • Proven experience in office management, administration, or a related role.
  • Strong organizational skills and ability to manage multiple tasks efficiently.
  • Excellent communication and interpersonal skills.
  • Intermediate- Sr Level Microsoft 365 tools (Word, Excel, Outlook, Teams, etc.).
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Experience with financial or HR administration is a plus but not required.
